How to schedule an appointment for yourself
To schedule an appointment from a patient profile, click Schedule from the action menu:
Then, you will have the following options:
- Identify if the appointment is a Call or Visit
- Assign the appointment
- Set Who to yourself
- Set Type to the type of Call or Visit you would like to schedule
- Use When to choose the date for the appointment
- Time allows you to choose a specific time or part of the day for the appointment, or just set it to take place for any time of the day.
- Select Schedule Call to complete the process
How to schedule an appointment for a team member
Using Welkin’s scheduling feature, you have the option to request that other team members perform a call or visit. You can also look at their availability and schedule the visit directly.
To perform this:
- Click Schedule Call or Visit
- Identify if the appointment is a Call or Visit
- Assign the appointment to schedule it directly, or Request the appointment to send a scheduling request
- Set Who to the person you are creating the appointment for
- Choose the date for the appointment - note the calendar to see when they are free
- Choose a specific time or part of the day for the appointment, or just set it to take place for any time of the day.
An alert will appear in the recipient’s Inbox letting them know that a visit has been scheduled, or that a request for a visit has been made. Clicking on the alert will take them to the patient’s profile, with the prompt for the visit request at the top of the page.
The recipient can:
- Decline the visit, which would send an alert to the sender letting them know that the request was denied and that they may want to reach out to a different rep
- Reassign the request to a different rep instead
- Accept the request and schedule the visit for a time that works for their schedule
How to reassign upcoming calls and visits to another rep
On the upcoming appointment in the patient profile, select “Edit” and then change the rep associated with the appointment:
